1. Acquisition, use, and provision of personal information (Articles 18 and 15 of the Act on the Protection of Personal Information)

In accordance with the Act on the Protection of Personal Information (hereinafter called the "Act"), we announce the following matters relating to our privacy policy.
We comply with laws and regulations concerning personal information and pay the most scrupulous attention when handling the personal information you have provided. This Privacy Policy statement describes how we handle your personal information.

2. Purposes of use of personal information

We may use your personal information for the purposes listed below.

  • (1) Consent has been obtained from you
  • (2) Insurance agent/broker business
  • (3) Sales activities relating to the aforementioned business via methods such as post, e-mail, or telephone, or for customer trend analysis, research and analysis for product development, sales method development, etc.
  • (4) Provision of Clearth Rent product/service information concerning daily life, residential environment, etc.
  • (5) Support activities for the "Concieria 24 Service" provided by K.K. Clearth Life

3. Provision of personal information to third parties (Article 23 of the Act)

The name, address, telephone number, e-mail address, and other necessary pieces of your personal information you provide to us will be provided to one or more third parties listed in the subsequent paragraph when the information is required for one of the purposes listed in above (2), provided that one of the following conditions (1) to (7) is fulfilled. We shall stop the provision of your personal information to third parties upon your request.

  • (1) Consent has been obtained from you
  • (2) Provision of personal information to the pertinent third party (hereinafter called Provision of Information) is required for occupancy application or rental contract procedures or for guidance or provision of ancillary products or services (including fire insurance or sanitization work, moving company arrangements, room/facility repairs, and the provision of communication services).
  • (3) Provision of Information is required for advertisement on the Internet or other media or for guidance or provision of products and/or services concerning rental management (including room/facility repair and sanitization procedures).
  • (4) Provision of Information is required to cooperate with a national agency or local government or its entrusted entity for a task required by law in the condition that our attempt to obtain consent from you could hinder the execution of that task.
  • (5) We outsource handling of personal information to an external entity for smooth execution of business or for other purposes. (In this case, we shall ensure that outsourcer fulfills a pertinent level of personal information protection, and then shall appropriately supervise them, for example, by obliging them to prevent leakage and re-provision of personal information according to an agreement.)
  • (6) Provision of information is in accordance with laws and regulations.
  • (7) Provision of Information to third parties is required to protect human life, body, or property in the situation that it is difficult to obtain consent from you.

4. Third parties to which we may provide your personal information

The name, address, telephone number, e-mail address, and other necessary pieces of your personal information you provide to us will be provided to one or more third parties listed in the subsequent paragraph when the information is required for one of the purposes listed in above (2), provided that one of the following conditions (1) to (7) is fulfilled. We shall stop the provision of your personal information to third parties upon your request.

  • (1) Our group companies (K. K. Clearth Life, K. K. Clearth Community, and K. K. Clearth Monthly)
  • (2) The other party (or its candidate) and real estate transaction dealer for the rental contract
  • (3) The company that is engaged in the management of the building containing the room rented under the contract
  • (4) Advertising agencies that post information using the Internet or other advertising media
  • (5) Companies that repair the building and room facilities
  • (6) Other partner companies judged by us as entities that need to be provided with the information

5. Security Control Measures for personal information (Article 20 of the Act)

We make earnest efforts to safely manage and use your personal information and take reasonable and appropriate security measures in order to protect your personal information from illegal accesses, loss, damage, corruption, falsification, leakage, propagation to outside our company, and such. We also make efforts to appropriately manage your personal information. Furthermore, we have information security rules and make efforts to familiarize our employees with these rules.

6. Procedure for personal information disclosure (Article 25 of the Act)

If we receive a request to disclose personal data we retain (hereinafter called Retained Personal Data) from the owner of the data or its agent, we will respond to the request within a reasonable period of time, as a rule.

  • (2) How to request us disclosure of personal information

    If you want us to disclose your personal information, please fill out the specified disclosure request form with the necessary information and with the necessary documents attached and send it by mail or bring it directly to the above contact. Note that a charge of 525 yen is required for each disclosure of personal information (Article 30 of the Act).

  • (3) We cannot disclose personal information if:
    • 1) We cannot confirm your identity because, for example, the address written in the request form or the identity verification document you provide us does not match the address you registered with us.

    • 4) The target of your disclosure request is not "Retained Personal Data."

    • 6) Disclosure may seriously affect the appropriate execution of our business.
    • 7) Disclosure of information violates another law or regulation.

7. Modification, etc. of personal information (Article 26 of the Act)

If the contents of the Retained Personal Data are inaccurate or not factual, and we receive a request for information modification, addition, or deletion to correct the statement, we shall respond to the request within a reasonable period of time, as a rule.

8. Suspension of use of personal information (Article 27 of the Act)

If we receive a request to stop the use of Retained Personal Data from the owner of the data for the reason that we handle the personal data beyond the scope required to achieve the specified purpose of use without obtaining consent from the owner or that we obtained the personal data by deceit or other illegal means, and this request is judged as reasonable, we will stop the use of the data or take other appropriate measures.

9. Handling of personal information on our website
